Job ad: Team Assistant based in Victoria, Gozo

This is opportunity to join a fast-growing company in the real estate industry, based in our Victoria (Gozo) office.

Property Hunters’ is the only exclusive buyers’ agency in the Maltese islands. Our goal is to look after property buyers, make sure that they get the best deal they possibly can when they purchase a property, and ensure they avoid any pitfalls.

The team member we are looking for

We are looking for a smart, IT-savvy team assistant who takes ownership and is accountable for his or her work. The successful applicant must be able to suggest ways to improve the day to day of the agency and our customers’ satisfaction, while keeping on top of tasks independently and efficiently.

Loyalty and confidentiality are must-haves. The successful applicant is discreet and protects the clients’ and the agency’s privacy with the diligence of a doctor or a lawyer.

Initial tasks of the successful applicant

  • Front of house (welcome guests, take calls)
  • Office administration (keeping the environment in good shape and well supplied)
  • Team diary management
  • Manage agency calendar (key events, pitch meetings)
  • Allocate tasks and leads to team members
  • Travel management (booking of domestic and international travel)
  • Collate / upload / send invoices and receipts
  • Keep the team rolodex updated and make sure no leads are unattended
  • Other admin work as required (we are a startup and we all get our hands dirty – there is no “this is not my job” here)

The successful applicant can grow into

  • Assisting with pitch work (e.g. customise PowerPoint slides for client-specific assignments; collate market data for specific clients or colleagues)
  • Updating the agency’s social media posts and promotions
  • Assist with online publishing and other creative IT tasks
  • … (depending on the person’s vocation and interests)

Required skills

  • Excellent communicator – in writing, over the phone and in person
  • Professional presence in person and over the phone
  • Native-level English proficiency
  • IT-savvy: can navigate his/her way around most of the following: Microsoft Word, PowerPoint, Excel, Google Docs, Google Drive, Dropbox
  • Numerate
  • Quick learner
  • Positive attitude and a ‘can do’ attitude
  • Strong ethics – “doing what’s right”

Nice-to-haves

  • Bachelor’s degree
  • Previous experience as an Executive Assistant or similar role
  • Experience with a CRM (e.g. Salesforce, Microsoft CRM, Hubspot)
  • Experience with a CMS (ideally WordPress)
  • Good with social media (Facebook, Twitter, Instagram)
  • Some experience or background in accounting
  • Knowledge of Russian or Arabic will be looked upon very favourably
